Privacy Policy

HauzHost is a rental-management platform operated by AgriWorks Crop Solutions, LLC (“we,” “us,” or “our”). We provide software that independent rental hosts (landlords) use to run their tenancies — listings, screening, leases, payments, and a tenant portal. This Policy explains how we handle personal information when you use HauzHost at hauzhost.com and its subdomains (the “Service”), whether you are a host or a host’s tenant. For information a host enters about their tenants, the host is the controller of that data and we process it on their behalf to provide the Service.

Information we collect

• Host account — name, email, phone, business name, and login credentials.
• Tenant & tenancy data hosts enter — names, contact details, lease and document records, and electronic-signature records (typed name, consent, and the date, time, and IP address of signing).
• Identity verification — when a host’s screening step requires it, a government-issued photo ID a tenant uploads, used only for that host’s identity verification and record-keeping. We do not request Social Security numbers through the Service.
• Payment information — handled by our payment processor, Stripe. We do not receive or store full card or bank-account numbers; we receive limited transaction details (amount, date, status, identifiers) for billing records.
• Communications — inquiries, messages, and correspondence sent through the Service.
• Technical — server logs (IP, browser, pages accessed) retained for no more than ninety days for security and operation.

How we use information

• To provide and operate the Service for hosts and their tenants;
• To create and manage accounts, listings, screening, leases, documents, and payments;
• To send service notifications (and, where applicable, password resets and reminders);
• To secure the Service, prevent abuse, and meet legal, tax, and recordkeeping obligations.

We do not use personal information for advertising, profiling, or automated decision-making, and we do not sell personal information.

How we share information

We share personal information only as needed to operate the Service:

• The host whose account the data belongs to (for tenant data a host enters).
• Service providers bound by contract to use it only to provide their service to us — payment processing (Stripe), infrastructure and DNS (Cloudflare), and transactional email.
• Legal obligations — in response to lawful process, or to protect rights, safety, and property.
• Business transfer — if the Service or our business is transferred, information may transfer with it and remain subject to this Policy until updated.

Identity documents & sensitive data

Uploaded IDs and other sensitive documents are kept in access-controlled storage, visible only to the relevant host and tenant, used only for the host’s verification and record-keeping, and retained only as long as reasonably needed, after which they are deleted.

Retention

We retain account and tenancy records while an account is active and for a reasonable period afterward to meet legal, tax, and recordkeeping requirements, then delete or de-identify them. Server logs are kept no more than ninety days. You may request earlier deletion, subject to records we must keep.

Your rights

You may request that we confirm, provide a copy of, correct, or delete your personal information, or stop non-essential communications. You can see and download your data yourself — from Settings → Privacy if you have an account, or request a secure link at hauzhost.com/privacy. For corrections, deletion, or anything else, contact privacy@hauzhost.com; we respond within thirty days. If you are a host’s tenant, requests about data the host entered may be directed to that host as controller. California residents have additional rights under the CCPA, including to know, delete, and correct, and not to be discriminated against for exercising them.

Security

We use reasonable administrative, technical, and physical safeguards — encryption in transit, access controls, and multi-factor authentication — described in our Security overview. No system is perfectly secure. We will notify affected individuals and authorities of a qualifying breach as required by applicable law, including Hawaiʻi Revised Statutes ch. 487N.

Children

The Service is for adults and is not directed to children under 18. If you believe a minor provided us information, contact us and we will delete it.

Changes

We may update this Policy; the “Last updated” date and version above reflect the latest revision, and material changes will be communicated through the Service.
