Privacy Policy
How GQ Rental collects, uses, shares, and protects your personal information.

This Privacy Policy describes how Nathaniel O. Griffin and Melanie Quintana-Griffin, operating as GQ Rental (the “Landlord,” “we,” “us,” or “our”), collects, uses, shares, and protects your personal information when you use the GQ Rental website and tenant portal (the “Service”). We operate the Service on the POWR property-management platform provided by AgriWorks Crop Solutions, LLC, which processes information on our behalf. Unlike a purely informational website, the portal holds account and tenancy records, so this Policy is detailed.
Information we collect
We collect the following directly from you:
- Account information — your name, email address, and phone number.
- Identity verification — a government-issued photo ID (such as a driver’s license, state ID, or passport) that you upload so we can verify your identity before you sign a lease. We collect this only for identity verification and landlord record-keeping, and we do not request your Social Security number through the Service.
- Tenancy and document records — your lease and other documents, the contents you exchange with us through the shared document repository, and electronic-signature records (your typed name, your consent, and the date, time, and IP address of signing).
- Payment information — handled by our payment processor, Stripe. We do not receive or store your full card or bank-account numbers. We receive limited transaction details from Stripe (such as amount, date, status, and a payment identifier) to keep our billing records.
- Communications — messages, requests, and correspondence you send us.
We also automatically collect limited technical information:
- Server logs — including IP address, browser type, and pages accessed, retained for no more than ninety days and used for security monitoring and operation.
How we use your information
- To create and manage your account and your tenancy;
- To verify your identity before signing and to maintain landlord records;
- To prepare, deliver, and electronically sign your lease and related documents;
- To bill and collect rent, electricity, and other charges owed under your Rental Agreement, and to issue receipts and invoices through Stripe;
- To exchange documents securely with you and keep your signed documents available to you;
- To communicate with you about your tenancy and the Service;
- To secure the Service, prevent abuse, and comply with legal, tax, and recordkeeping obligations.
We do not use your information for advertising, profiling, or automated decision-making, and we do not sell your personal information.
How we share your information
We share personal information only as needed to operate the Service:
- Service providers that operate the Service on our behalf — the POWR platform provider (AgriWorks Crop Solutions, LLC), our payment processor (Stripe), and our email and hosting providers — each limited by contract to use the information only to provide their service to us.
- Legal obligations — in response to lawful subpoenas, court orders, or other valid legal process, or to protect rights, safety, and property.
- Business transfer — if ownership of the property or the Service is transferred, your information may transfer with it and remain subject to this Policy until updated.
We do not share your personal information with third parties for their own marketing.
Government ID and sensitive documents
We treat your uploaded ID and other sensitive documents with particular care. They are stored through access-controlled storage, are visible only to you and to the Landlord, are used only for identity verification and landlord record-keeping, and are retained only as long as reasonably needed for your tenancy and applicable legal requirements, after which they are deleted.
Data retention
We retain your account and tenancy records for the duration of your tenancy and for a reasonable period afterward — to reconcile and return your security deposit, complete follow-ups, and meet legal, tax, and recordkeeping requirements — after which we delete or de-identify them. Server logs are retained for no more than ninety days. You may request earlier deletion as described below, subject to records we are required to keep.
Your rights and choices
You may, at any time, request that we:
- Confirm what personal information we hold about you and provide a copy;
- Correct inaccurate information;
- Delete your information (subject to records we must retain by law or for an active tenancy);
- Stop sending you non-essential communications.
Many of your documents are already available to you directly in your portal. To make a request, contact us at nateandmelaniehawaii@gmail.com; we will respond within thirty days and will not charge a fee for reasonable requests.
California residents have additional rights under the California Consumer Privacy Act, including to know, delete, and correct personal information, and not to be discriminated against for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising.
Security
We use reasonable administrative, technical, and physical safeguards to protect your information, including encryption in transit, access controls, and multi-factor authentication for accounts. These are described further in our Security overview. No system is perfectly secure, and we cannot guarantee absolute security. In the event of a security breach affecting your personal information, we will notify affected individuals and authorities as required by Hawaiʻi Revised Statutes chapter 487N and other applicable law.
Children
The Service is intended for adult tenants and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
Cookies
We use only a small set of strictly necessary cookies to operate the Service. We do not use analytics or advertising cookies. See our Cookie Policy for details.
Changes to this Policy
We may update this Policy from time to time. The “Last updated” date and version above reflect the most recent revision; material changes will be communicated through the Service or directly to affected individuals.
